The Jury is Out on Microsoft's ECM Plan The world's largest
name in software has been largely absent from the enterprise
content management (ECM) game, but Microsoft presented a
plan for ECM when it announced its Office 12 software in
September. Now that analysts have had time to review and
digest the strategy, they are starting to weigh in on what
to expect. Microsoft's ECM offering is to be built largely
on its SharePoint technology and integrates with Office
applications. It will offer document management, document
workflow, records management, and Web content management.
Since it uses applications that many knowledge workers are
already familiar with, it figures to be easy to use and
administer. The new products required to run the solution
will be available in 2006.

Compliance Technology: How to
use the Tools
The compliance technology market is still embryonic, but
most public companies are purchasing software to help make
compliance a natural outcome of their business. Year one of
Sarbanes-Oxley compliance was simply overwhelming for many
companies. In most cases, the process was burdensome because
the required documenting, monitoring, verifying and
reporting was performed manually. IDC, a research firm based
in Framingham, Mass., estimates only about 10 percent to 15
percent of public companies used some type of compliance
management tool in year one. Most companies didn't have the
time to consider technology. CFOs felt they first had to
determine what to document and where to insert controls
before they could start thinking about how to automate.

By the Dashboard Light With SEC-mandated e-mail and
document-retention requirements, Sarbanes-Oxley, the USA
Patriot Act and other regulations looming on the financial
services horizon, executives increasingly are acknowledging
the need to monitor compliance on an enterprise-wide basis -
not just in select divisions of the company. And many
companies have started to assess or install compliance
dashboard tools with which compliance officers, C-level
executives or other managers can obtain a visual snapshot of
the company's compliance outlook at any given time.

Serve Your Customers Quickly and Efficiently, Regardless of
Contact Channel By Dan Ryan, Executive Vice President of
Marketing and Business Development for Stellent Quick access
to information and rapid resolution of problems are critical
to business success. Nowhere is this reality more evident
than across an organization’s customer service function.
Gone are the days when customer service representatives (CSRs)
were primarily tasked with fielding basic inquiries, such as
providing account information or the status of a recent
order. For the most part, these types of questions are now
answered through the use of automated technology.

Networking World Online: Oct. 17, 2005 IT and records
managers should team up on data retention policies "We need
those e-mails for court by next week! How could we lose
those backup tapes?" "What do you mean the engineering
workstation files were deleted when the employee left? Those
were the only records of the project!" "The auditors are
coming on Monday. Why do we still not know which electronic
records they want us to retain and provide?" These kinds of
anxiety-inducing statements are becoming common in corporate
board rooms across the nation. Unless someone plans ahead to
prevent these credibility catastrophes, negative media
attention and falling investor confidence will eventually
become some CEO's nightmare.

Records Management Goes Big Time Sheer proliferation of
information, media formats, and compliance issues raise the
profile and need for records management. In the old days,
records management was relatively straightforward, relegated
to hardcopy paper records and photographs. Over the decades,
microfiche gave way to audiovisual mediums and a plethora of
electronic formats, making the role of the records manager
overwhelming. "Records managers are responsible for the
lifecycle of records and information from birth to death,"
explains Virginia Jones, certified records manager (CRM),
and records manager with the information technology division
of Newport News Department of Public Utilities.

The Future of Content Management, Part 1
Those of you who've been in the industry for awhile have
seen the inevitable and know its name: "BIG." By big I mean
VENTE with an extra shot - guys like Microsoft, Oracle, IBM,
SAP, and Sun- any infrastructure vendor that stands to gain
by incorporating low-level content management functionality
into its platform and stealing market share from the
high-end pure-play content management vendors that one
analyst called "the seven dwarfs" - Interwoven, FileNet,
Documentum (now EMC), Open Text, Hummingbird, Vignette, and
Stellent. Let's be clear here, though - "dwarf" in this
context is not a disparaging term. These vendors are very
good at what they do -- industry just hasn't matured to the
point that any have emerged as super-bigs. So the latter
will muscle them around some.
